Position Summary
The development of a positive volunteer workforce is an integral part of Winona Volunteer Services programs. This position supports the agency’s goals and objectives through the successful recruitment and retention of volunteers for the food shelf, clothes shop, special projects, home delivered meals program, reception and VITA (volunteer income tax assistance). The Volunteer Coordinator is responsible for implementing appropriate volunteer management practices including recruitment, interviewing, job matching, orientation and training, supervision and motivation, recognition, evaluation, planning and job development.
Accountabilities & Responsibilities
Volunteer Coordination
- Recruits, screens, and places appropriate volunteers in positions that fulfill the agency’s goals
- Coordinates and creates training programs that ensure volunteer compliance with established policies and procedures
- Establishes appropriate follow up procedures with volunteers
- Designs and conducts volunteer survey’s
- Creates and posts volunteer work schedules
- Implements training programs for volunteer development
- Generates community awareness for volunteer positions by disseminating information to targeted audiences using a variety of mediums
- Creates events and opportunities that recognize volunteers and their service
- Conducts regular needs assessments to involve volunteers in more significant roles within the organization
- Strives to improve processes to ensure best Volunteer Management practices
Client Service Assistance
- Articulates accurate information about agency services when inquiries are made
Documentation, Reporting, and File Administration
- Oversees documentation of volunteer activity and compile statistical data for reports
- Maintains the volunteer database and volunteer personnel files
- Prepares reports for the Executive Director and other agencies as required
- Updates and creates job descriptions for current and new volunteer opportunities
- Updates and maintains procedural handbooks for all categories of volunteer involvement
Additional Duties & Responsibilities

- Accepts other assignments deemed appropriate and necessary
- Adheres to established policy and procedures and support agency goals
- Participates in regularly scheduled staff meetings

Role Qualifications
Education & Experience
- This position requires knowledge, skills and mental development equivalent to a Bachelor’s Degree and two years’ experience with a volunteer service organization. Or a combination of applicable education and experience as evaluated as acceptable by the Director.
Other Skills & Abilities
- Ability to work with individuals and groups from a variety of backgrounds and educational levels.
- Working knowledge of various software programs not limited to Microsoft Office.
- Demonstrated proficiency with volunteer management preferred.
- Demonstrated initiative/self-motivation, attention to detail, organizational and time management skills
- Ability to establish appropriate boundaries with volunteers, deal effectively with problems and exercise good judgment.
- Enthusiasm in performance of assigned duties.
- Highly motivated and able to work without close supervision, but willing to accept direction and guidance from the director.
- Represents WVS in a most positive manner to employees, students, visitors, donors, and the general public.
- Ownership and the ability to operate a motor vehicle with a valid driver’s license and insurance.

Work Relationships & Scope
Works regularly with clients, volunteers, and co-workers for the purpose of obtaining and providing information and assistance. Works occasionally with suppliers and vendors, community/trade/professional affiliations. Works regularly with confidential information.
This position is supervised by the Executive Director. The individual will develop an active work plan based on the agency’s strategic plan and use his/her judgment, initiative and self-supervision in completing specific work. This person has the ability to exercise discretion and independent judgment with respect to matters pertaining to volunteer management. All work is subject to direction from the Executive Director who defines the general activities within the broad limits of established policy and procedures. The employee participates in staff meetings and has individual conferences with the Director to discuss general phases and specific details of work, as needed.
Working Conditions
Work is performed in a variety of work environments. Regular mental and visual concentration for computer usage required. Requires ability to receive and provide detailed information through verbal communication. Requires near, mid-range, far, and field of vision and hearing. Will alternate sitting, standing, and walking throughout the work shift. Bend, stoop, lift and carry boxes or bags. Climb stairs. Operate an automobile. Work is performed generally during regular business hours; must be available to work a rotating schedule that includes every other Saturday, an occasional week-night event may be required.
Operates personal computer in a Windows environment for word processing, spreadsheets, e-mail, internet, and other bank specific software. Utilizes a variety of office equipment including computer printer, calculator, fax, copy machine, scanner, and telephone.
